An internal assistant may be blamed for inconsistent answers when the underlying document library contains gaps nobody owns. Model changes alone will not resolve that condition.

Assign responsibility for source quality

Identify who can approve, revise and retire each important document set. Record a review trigger and the business scope of the material.

W3C’s PROV Data Model connects information with the agents and activities behind it. A practical knowledge register can preserve that accountability without implementing the entire technical model.

An illustrative customer-support library should identify who approves product limits and who updates procedures after a release. Upload permission is not the same as editorial authority.

Distinguish a missing answer from a missing source

When a user reports an inadequate response, inspect whether the relevant information exists and is accessible. If it does not, assign a content task rather than repeatedly modifying the prompt.

Keep user questions that reveal material gaps. Prioritise them by workflow consequence and frequency, not only by how easily a new help page can be written.

Avoid letting the assistant fill organisational policy gaps through inference. It should identify uncertainty and route the issue appropriately.

Connect document changes to evaluation

Review the questions affected by a source update and rerun relevant tests. A corrected document can still produce poor answers if indexing or retrieval remains stale.

Include unanswered but legitimate questions in the content backlog. Distinguish a missing document from a question the organisation deliberately leaves to an authorised expert. The first may justify new source material; the second may require a better escalation experience rather than expanding the assistant’s apparent knowledge.

GAT’s AI deployment guide treats data quality as an operating requirement. Document ownership turns that principle into continuing work, ensuring the assistant’s knowledge remains attached to people authorised to maintain it.
