A founder knows why a report excludes a transaction or why a configuration behaves differently. The answer is given repeatedly in calls, but never enters documentation that another employee can trust.
Capture the question with its conditions
Record the user task, relevant configuration and verified explanation. A generic answer can be misleading when the behaviour depends on account settings or product version.
GitHub’s release guidance demonstrates connecting information to software iterations. Product explanations should similarly state when they apply.
An illustrative reporting tool may use a particular date boundary. The document should explain that boundary and show a safe example, rather than advise users simply to “refresh the report.”
Test the explanation with another person
Ask support or a relevant user to apply the guidance to a representative case. Observe which assumptions remain hidden.
Where the explanation depends on judgment, define an escalation route instead of turning the founder’s intuition into a rigid rule. Documentation should clarify uncertainty rather than erase it.
Remove confidential customer details before creating reusable material. A private troubleshooting conversation is not automatically suitable for a public help article.
Review knowledge when behaviour changes
Assign ownership and a revision trigger. Outdated documentation can be harder to correct than missing documentation because employees trust it.
Track whether repeated questions decrease and whether users complete the task correctly. Views alone do not establish that the guidance helped.
Give recurring explanations a verification owner rather than treating them as permanent facts because the founder wrote them. Product knowledge can become stale after configuration or policy changes. A named reviewer and an explicit scope make documentation more dependable as the company’s original informal context becomes less widely shared.
A growing startup needs knowledge that survives its original authors. The goal is not to write down everything the founder knows, but to make recurring customer decisions explainable through verified, maintainable information.
