A team may upload every useful file into a knowledge system and assume that more material improves answers. Without version and ownership controls, the larger collection can increase ambiguity.
Establish the authoritative version
Record the document owner, status, effective context and superseded relationship. A recent upload date is not necessarily the date on which the content became authoritative.
AWS’s retrieval-configuration documentation describes metadata filters. Such features can support selection, but the organisation still needs accurate metadata and a rule for authority.
An illustrative regional policy library may contain a draft, an approved headquarters policy and a local supplement. Their relationship cannot be resolved reliably by treating all three as equivalent text.
Test conflicting passages explicitly
Ask questions that expose the difference between versions. Check whether the assistant identifies the applicable source and explains relevant uncertainty.
Do not assume a fluent merged answer is acceptable. Combining parts of incompatible policies can create a statement no authorised document actually makes.
When the source itself is ambiguous, route the question to the document owner. A model should not become the organisation’s unappointed policy editor.
Maintain the corpus as an operating asset
Review stale drafts, duplicates and ownership gaps. Keep historical material where needed, but distinguish it from current retrieval according to the system’s design and retention requirements.
Use a conflict register for important source sets. Record which documents disagree and who is authorised to resolve the relationship. This gives the application team a concrete content task and prevents repeated prompt changes from becoming an informal substitute for deciding which policy or product statement is authoritative.
GAT’s AI deployment guide emphasises clean records and evaluation. Version authority belongs in that work: an assistant cannot consistently identify the right answer if the organisation has not identified which source is entitled to provide it.
