A startup may combine early conversations, active evaluations and negotiated contracts in one figure. That can obscure the actual buying evidence and make later progress difficult to compare.

Define a stage through customer action

Describe what a prospect has done to enter each stage. An arranged demonstration is different from a budget-approved evaluation. Avoid advancing opportunities solely because the seller completed another task.

Stripe’s analytics documentation allows configuration of recurring-revenue definitions. That illustrates why even established financial dashboards need explicit definitions; a sales pipeline requires the same transparency.

An illustrative company should show a signed subscription separately from an indicative proposal. Neither should be casually described as collected cash.

Preserve the population and timing

State the reporting date, currency basis and whether the total includes renewals or expansion. Keep one opportunity from appearing in several countries or partner channels at once.

If probabilities are used, explain their basis and validate them against actual experience. A precise weighted total can still be a weak estimate when stage probabilities are arbitrary.

Do not treat a missed forecast automatically as dishonesty. Examine whether definitions, timing or customer circumstances changed, and correct the record accordingly.

Use the report to improve execution

Review stalled stages and the evidence needed to move them. A growing early pipeline may be useful, but it can also hide weak qualification or limited delivery capacity.

Keep a separate count of opportunities whose next action belongs to the buyer and those waiting on the startup. Both can stall, but the remedies differ. This distinction makes pipeline reporting operationally useful without turning every internally scheduled follow-up into evidence that the customer has advanced its purchase process.

GAT’s enterprise pilot-to-revenue guide explains why a successful demonstration may not produce a purchase. Reporting the decision stages accurately helps founders and investors see that gap rather than bury it inside a larger commercial number.
