A conversational assistant can locate an order and describe options. Without clear permissions, the same interface may appear to approve an exception it has no authority to grant.

Use the applicable policy version

Identify the transaction, relevant policy and information required for a review. Do not infer eligibility from a generic summary when product, date or purchase channel affects the process.

OWASP’s excessive-agency guidance concerns the risks of broad actions and permissions. A refund workflow is a practical place to separate explanation, proposal and execution.

An illustrative retailer could allow the assistant to prepare a return request while requiring an authorised person or rule-based process to approve an exception.

Confirm the consequential details

Before an authorised action, verify the item, quantity, destination and amount through the approved system. The conversation should not substitute for transaction confirmation.

Handle partial completion explicitly. If a return is registered but a refund remains pending, communicate both states accurately.

Protect access so one customer cannot retrieve another customer’s order through a plausible query.

Measure the full service outcome

Track incorrect promises, duplicate requests and staff corrections as well as response speed. A high conversational resolution rate may be misleading if customers later discover that nothing was approved.

Create a confirmation view that distinguishes a submitted return request from an approved refund. Customers should not have to infer status from a polite conversational response. The receiving operations team should see the same state, preventing the assistant and staff from giving different accounts of what the retailer has accepted.

GAT’s SME automation article asks where automation actually removes work. A retail assistant contributes when it makes the next step clear and executes only what the business has deliberately authorised.
