An assistant may match a customer’s description to a catalogue entry. If pack size, grade or unit differs, a plausible match can create the wrong order or stock movement.
Identify the fields that establish the item
Use the organisation’s approved product identifiers and relevant attributes. Keep a suggested semantic match distinct from a confirmed record.
Hugging Face’s dataset-feature documentation describes explicit names and data types. A warehouse application also needs the business definitions and identifiers that make those fields meaningful.
An illustrative distributor could stock the same named product in individual units and cartons. Text similarity alone cannot determine which quantity the user intended.
Design clarification into the workflow
Ask for the missing attribute or show a concise comparison when several candidates remain. Do not default to the most common item if the consequence is a physical transaction.
Require appropriate confirmation before changing stock or issuing an order. Limit the assistant’s tools according to its authorised role.
Preserve the original request so staff can understand why the suggestion was made and correct a recurring interpretation problem.
Evaluate the resulting operation
Test similar descriptions, obsolete codes and changed packaging using authorised examples. Review wrong-item suggestions separately from harmless wording differences.
Test the assistant on catalogues containing old and current codes for the same item. The correct response may require a verified mapping rather than choosing the nearest text match. Retain the mapping’s owner and review date so an obsolete suggestion does not persist after packaging or inventory conventions change.
GAT’s software-defined warehousing analysis examines connected operating systems. Product identity is one of the boundaries that must remain stable across those connections. An AI assistant should make uncertain matching easier to resolve, not turn it into a confident movement of the wrong goods.
