Founders often remember a good conversation more readily than its unresolved constraints. A short structured record can preserve the evidence needed to assess whether the opportunity is progressing.

Separate statements from interpretation

Record the customer’s problem, named stakeholders, decision process and any confirmed action. Mark hypotheses explicitly.

W3C’s provenance model distinguishes the origins and processing of information. In sales, that principle means retaining who said something rather than presenting an inference as a customer commitment.

An illustrative buyer saying “this could help our regional team” has not confirmed a regional budget. The note should preserve the statement and identify the budget question as open.

Make next steps mutual

A vendor action such as sending a deck is not the same as a buyer action such as arranging a review with procurement. Record the owner and purpose of each.

If no next step was agreed, say so. Creating an arbitrary follow-up date does not establish momentum.

Avoid recording unnecessary sensitive information. Notes should support the business relationship and follow the organisation’s data-handling rules, not become an unrestricted profile of everyone in the meeting.

Review evidence of movement

At the next pipeline review, ask what changed in the customer’s ability to decide. A new meeting can be useful, but it may also repeat an earlier conversation with no additional authority or evidence.

Use stalled opportunities to improve qualification rather than pressure staff to upgrade stages without support.

Keep a space for what was not established. This encourages a salesperson to record unresolved authority, timing or technical questions rather than fill mandatory fields with guesses. A pipeline review can then focus on the missing evidence, making uncertainty actionable instead of treating complete-looking records as a sign of progress.

GAT’s go-to-market guide stresses disciplined execution. Meeting notes support that discipline when another team member can understand the actual buying situation without relying on the founder’s optimism or memory.
